Have an interesting situation.....

I mailed off a custom made conducting baton to a customer's son in California in early September - sent from the Bloomington, IL PO. I assumed it was received. 60 days later, I heard from the parents that when they asked him about his birthday gift from them, he had never received it. I did a search on the tracking number (it was sent priority mail insured) and it never arrived. I filed a claim at the PO, and I was told that they would pay me for the item within a week to 10 days. I made a new baton for the customer and shipped it off.

After two weeks, I was in the PO again and stopped in to let the fellow who wrote up the claim know I had not received payment yet. He looked it up and told me I should have it fairly quickly.

When I got home, I received a call from the PO saying that the original baton had just been delivered - 66 days after it was shipped. When I mentioned that I had replaced the baton for the customer after the claim was filed and I was told it would be paid, the guy said, "Well - now your customer has two batons!!!" I asked who would pay for the second one, and he didn't know.

The PO offered postage refund - but would not pay for the baton. I wrote a letter to the local PO postmaster as well as the regional postmaster 45 miles away away in Peoria. A day later I received a call from the regional guy telling me that although it was unusual, he was going to take care of my claim. He wanted to assure me that this was very unusual - that I should have had my package sent with a return receipt that showed delivery. I asked how that would have helped in this situation, and he said that I would know for sure that it was delivered or not..... (!!??). Anyway - we ended the conversation with me expecting a payment.

Well - here we are 1 month later - not a word from anyone.

Their opinion was that it was delivered - so they can't pay the claim. My opinion is that, after 60 days, I consider it lost and they confirmed that by telling me they would pay the claim. That was my signal to make and send a new baton to the customer - who was out the money and the baton up to that point.

Not a lot of money to be out - only $37 plus all the postage - but I really feel upset now when I walk into the PO to mail a package and see the dude filling out claim forms for other people.

Thoughts?

Best,
Roger Garrett

This is my take on the insurance option. Think about how many packages are shipped without any problems. If insurance were purchased each time, the PO gets a lot of extra $$. If a package is lost, it is difficult to collect anything, let alone full value. Is the insurance worth it? Not in my opinion.

Roger,

You are far too patient with the PO. I would never have waited another month. Their opinion is one thing, ask them to show you their policy in writing.

When dealing with any situation like this it is always important to get the person's name, a phone extension or other means of identifying them if possible. Write it all down with the time, date, any other information.

Get them to commit to a specific date or time period. If it is more than 1 week, tell them that it is not acceptable and that you will be back to them in a time that you specify. If they give you any resistance, ask to speak with their supervisor. They probably won't want you to do that but insist that you speak with one. If one is not available, confirm when one will be available and contact them then.

Always be polite - although sometimes that is impossible.

So, all that being said and assuming that you got the aforementioned information - visit or call the PO ASAP and talk to a supervisor. If they don't help to your satisfaction, keep going up the ladder.

JMHO,

Florida Don
PS After doing a search it appears that you did everything within the time limits by the PO. It also states that one usually receives a refund within 30 days of filing the claim.

I agree with Florida Don, keep the pressure on until you get satisfaction. If one level won't help you ask for the contact information of their manager. Keep going up the chain until someone recognizes that "THEY" have a problem and it's NOT yours.

Will the customer return the second one?

That what tends to happen with shipping..

Wifes family lives in KS and sometimes sends parcels up... once, one got lost, day after we filed the paperwork - it was found and delivered the next day..

Recently, I sent some things to woodlvr in Nov.. then around Christmas, after calling and filing a missing item report on it, it was found and delivered..

Sometimes it pays to wait after filing a report to see what will happen.. either the item will be delivered, or soon as you have payment in hand, send the second item.

Roger I have a similar problem. I sent a box of magazines down to dallas from arkansas. Up until that point I never got insurance or conformation numbers. The guy said he never received them and since I have no paper work to trace the package I refunded his payment. Shipping for a box of magazines alone was like $35. It was a lesson well learned. The conformation numbers only cost less then a dollar and when your dealing with people you don't know it doesn't hurt to add it on. Not to say the guy from dallas wasn't legit on not getting his package, it just seems things went real bad once he found out I didn't have a conformation number after he didn't get them within a week. Even though I sent him a copy of the receipt.
I know this doesn't help you but maybe someone else reading this may think twice when the postman ask if they want a conformation number or insurance.

As for raising stink with the post office. We had a postman that was bad about getting our mail mixed up with others. We complained about and got a different mailperson. The thing is that we had no idea where our mail had been before we got it but a lot of things that were kind of important like utilities bills started coming in with not at this address wrote on them.

Just a heads up before you decide to fight a loss cause.
