need help for the private messages mail box

My mail box on IAP started having a warning statement as (Your PM box is 91% full) although I don't need all of the PMs, I have to go through all of them and see which ones I need to keep since some of those PMs have infos I need. how do you move the info.s to another folder so the mailbox won't fill so quick?
Any help is appreciated.

At the bottom of the page, there is a drop down menu, that says "move to folder". click that and change to "download as XML" (my choice), then put check marks in all the boxes next to the PM's (I keep them all, on my computer).

It will download and ask you where you want them. I have a file on my computer "IAP PMin" and another "IAP PM sent" I put the last page in and name it with the dates involved, then put the second last page in (there are usually three pages when the 90%+ comes on). This allows me to keep the first page (most recent 100 messages) on the IAP, so I can find them quickly.

For the first time you do this, confirm the files you have transferred to your computer will open and you can read them. Then, use that same drop down menu---hit delete and remove the files you have transferred---opens up space and you are back in business for a few more days.

On the right hand side of the list of messages, you can check each individual box, the box for the week (will select all messages for that week), or the very top box where is says "Messages ###" to select all messages. Once you have selected the messages you want to download, scroll to the bottom of the page and you will see
Download all Private Messages as:
XML | CSV | Text

You can click on which ever way you want to save the messages and when the box opens, click "save file". They will be saved on your hard drive in your downloads folder or where ever you save your downloaded files.
